What This Is
Located in GTM Engine > Overview, Workspace Context helps you manage the business information and supporting sources that Propensity AI can use to understand your workspace.
Workspace Context provides four sections:
- Context Matrix: Review available sources, context coverage, and quality assessments
- Additional Context: Add business information through files, text, and public links
- Understanding: Review what Propensity has learned from selected sources, including supporting evidence and information gaps
- Activate: Approve reviewed business context for use in Propensity AI conversations
Together, these sections help you review, supplement, and approve the information supporting your workspace's AI context.
When to Use This
Use Workspace Context when you want to:
- Review the systems, data sources, and business information associated with your workspace
- Evaluate context coverage and quality to identify missing information or areas that need attention
- Add business information, such as company documents, product details, text, or public links, to supplement connected sources
- Review what Propensity AI understands about your business, including supporting evidence, gaps, and conflicting information
- Update or refine existing business context as your company's information and priorities change
- Approve and activate reviewed context for use in Propensity AI conversations
Workspace Context is particularly useful when setting up your workspace, introducing new business information, or ensuring that Propensity AI has access to relevant, reviewed, and approved context to support your marketing activities.
Context Matrix
The Context Matrix provides an overview of the systems, data sources, and business information available to support your workspace's AI context.
It helps you understand which sources are connected, what information is available, and where additional context or assessment may be needed.
The Context Matrix also displays Context Progress and Context Quality assessments, allowing you to review the completeness and quality of your workspace's available context.
You can explore this information through two views: Context by Source, which organizes information by connected system, and Context by Category, which groups it by business information type.
Context Progress
The Context progress section shows how much of the workspace's business context has been assessed and covered across its defined categories.
When sufficient evidence is available, Propensity can display a coverage percentage and progress indicator.
If category coverage has not been established, the section displays Coverage not assessed instead of assigning a percentage.
This distinction is important because an unassessed category does not necessarily mean the workspace has no relevant information.
Context Quality
The Context quality section provides an assessment of the information supporting your workspace.
Depending on the available evidence, it may display an overall assessment or a status indicating that additional information or evaluation is needed.
Below the summary, four expandable dimensions provide more detailed information.
Context Coverage
Evaluates the extent to which available, assessed context supports the workspace's business information needs.
Connection Health
Examines the available evidence about connected sources and their operational condition.
Data Integrity
Focuses on the reliability and consistency of the data supporting workspace context.
Intelligence Quality
Evaluates the available evidence supporting the quality and usefulness of reviewed business context.
Each dimension can display an assessment status, supporting reasons, and additional evidence when available.
Possible states include Not Assessed and Not applicable, as well as a scored result when sufficient evidence has been evaluated.
The interface may also display an overall status such as Missing Data when a complete quality assessment cannot be established.
These assessments should not be interpreted as a simple count of connected systems. A workspace may have connected platforms and available records while still lacking the evidence required for a complete context-quality evaluation.
Managing and Refreshing Context Sources
Above the Context Matrix, two actions help you review your workspace's sources.
Manage connections
Opens the area used to manage connected platforms and their configurations.
Use this option when you need to review or configure the systems connected to your workspace.
Refresh source inventory
Retrieves the current available source inventory and updates the information displayed in the matrix.
Refreshing the inventory is not the same as importing new data from every provider, rebuilding the workspace's business context, or activating new information for AI use.
Context by Source
The Context by Source tab displays a table of systems and information sources associated with your workspace.
Sources are organized into groups, such as:
- Propensity Intelligence: Native Propensity resources, including audiences and campaigns, and supported intelligence sources.
- CRM: Customer relationship management platforms, such as Salesforce or HubSpot.
- Marketing Automation: Connected marketing automation platforms.
- Sales Engagement & Enablement: Tools supporting sales engagement and related activities.
- Advertising & Social: Advertising and social platforms.
- Website & Analytics: Website tracking and analytics sources.
- Product Analytics: Product usage and behavior platforms.
- Customer Success & Support: Customer success and support systems.
- Connected External Data: Additional configured external sources.
The systems and sources shown depend on the integrations, configurations, and capabilities available to your workspace.
Understanding the Context by Source Table
The table contains five columns:
| Column | Description |
|---|---|
| System | Groups data sources by their general function, such as CRM, Advertising & Social, or Website & Analytics. |
| Connected system | Identifies the platform or source associated with the workspace. Where available, a Manage link opens the relevant source-management controls. |
| Context available | Shows the current availability or assessment status of context-related information for that source. It does not, by itself, confirm that the information is active for AI use. |
| Latest activity | Displays the latest reported activity date when supported analytics evidence is available. This is not necessarily the platform's most recent synchronization date. |
| Records available | Shows the number of stored analytics documents available for that source, when supported. These are reporting documents, not necessarily unique contacts, accounts, or newly imported provider records. |
The Records available count can include historical campaign analytics and information from multiple reporting levels.
A displayed count should therefore not be interpreted as the total number of contacts or accounts in the connected platform.
Understanding Context Available Statuses
The Context available column can display different values depending on the source and the evidence available.
| Status | What it means |
|---|---|
| Available | Supported analytics context records were found for the source. This confirms available reporting evidence, but not that the information has been approved or activated for AI use. |
| No context records | The supported analytics check returned zero stored context-related analytics documents for the source. This does not necessarily mean the underlying platform contains no data. |
| Not assessed | The system has not established supported analytics coverage for the source. This does not necessarily mean the source is disconnected or contains no usable information. |
| Context unavailable | The required context availability information could not be retrieved or verified. The current state is unknown rather than confirmed empty. |
| Workspace source | Identifies a native workspace resource, such as audiences or campaigns. Its availability and eligibility for active AI context are managed separately. |
| Coming soon | Indicates that the corresponding context capability is planned but is not currently available through this part of the Context Matrix. |
A source may be connected and have reporting data available without that information being automatically included in Apex conversations.
Source availability, AI permissions, reviewed context, and activation are evaluated separately.
Context by Category
The Context by Category tab organizes workspace context by the type of business information it supports, rather than by the system providing it.
The categories include:
- Company & Account Data: Information about companies and accounts.
- Contact & Buying Group Data: Information about contacts and buying groups.
- Marketing Engagement: Information about interactions with marketing activities.
- Sales Engagement: Information about sales-related interactions.
- Intent & Market Signals: Information reflecting market interest and buying intent.
- Advertising & Social: Information associated with advertising and social activity.
- Web & Product Behavior: Website and product engagement information.
- Pipeline & Revenue: Information about opportunities, pipeline, and commercial outcomes.
Each category can display its current assessment status and additional details explaining the available evidence.
For example, a category may be marked Not assessed when the system has not yet established enough evidence to determine its coverage.
These category assessments are separate from the connection and analytics availability information displayed in Context by Source.
Additional Context
The Additional Context section lets you provide business information that complements the data available through your connected systems.
You can use it to share product information, pricing details, company documents, or other reference materials that help Propensity better understand your business.
Select Add new context to add information using one of three options:
- Upload file: Upload a supported document or spreadsheet. Supported formats include .txt, .md, .csv, .docx, .pptx, and .xlsx. Propensity extracts readable text from supported files. Images and scanned PDFs are not supported.
- Add text: Enter or paste information directly, such as a business overview, product description, or marketing guidance.
- Add link: Provide the URL of a publicly accessible webpage. Propensity can capture the page's content for use as reference material. Pages requiring a login are not supported.
When adding a source, you can give it a name and choose Include in the next context update to select it for the next understanding build.
Authorized administrators may also have the option Keep ready for conversations, which controls whether selected material is retained in conversation context.
Managing Your Additional Context
Saved sources appear in the Your additional context table, which includes:
- Source: The name of the saved material
- Type: The source format or category
- Context status: Whether the material is saved, being processed, awaiting an understanding update, or included in the active context
- Updated: When the source was last updated
- Actions: Options to review or manage the source
You can use Search sources to locate specific materials and Reload sources to retrieve the current source list.
Saving a source does not automatically update the context used by Apex. New or changed information must be included in an understanding build and approved through the activation process before becoming part of the active workspace context.
Understanding
The Understanding section lets you review the business information Propensity has developed from your selected sources and available evidence.
Select Build understanding to generate a new version for review.
Propensity processes eligible sources to prepare a summary of what it understands about your business. The resulting information may include business context, supporting source references, and areas where evidence is missing or incomplete.
You can switch between two views:
- Review candidate: Displays the newly generated understanding that is awaiting review and approval.
- Active context: Displays the previously approved understanding currently available for AI conversations.
Reviewing the Evidence
The section includes additional information to help you evaluate the generated understanding.
Source evidence and coverage shows the sources contributing to the understanding, including available capture information and evidence coverage.
Gaps, conflicts, and items to review highlights issues such as missing information, conflicting evidence, or sources that could not be fully processed.
Review this information before proceeding. If important details are missing or incorrect, you can update the relevant source material and build the understanding again.
Generating a new understanding does not automatically replace the currently active version. The existing approved context remains in use until a new candidate is explicitly activated.
Activate
The Activate section is where you approve a reviewed understanding for use as your workspace's active AI context.
After generating and reviewing a candidate in Understanding, open Activate to examine its approval status.
When a candidate is ready for approval, the section displays information about the proposed context, including its sources and build status. It may also highlight gaps or issues identified during the review.
To approve the candidate:
- Review the information presented in Understanding.
- Select I have reviewed this understanding and approve it for the workspace.
- Select Activate reviewed context.
Once activation is confirmed, the approved understanding becomes the active context available to Propensity AI conversations.
Activating a new version replaces the previously active context with the approved revision. The section also displays information about the currently active version.
If sources or selections have changed since the candidate was generated, you may need to build and review the understanding again before activation.
Activation is an explicit, permission-controlled action. Simply adding a source or building an understanding does not automatically activate it.
